Former Costco Employees Explain 8 Store Policies Shoppers Often Misunderstand

Costco runs on a handful of rules that most members think they understand. Few of them actually do. Many of the gaps show up at the return counter, the entrance scanner, or the receipt check on the way out.

Accounts from people who have worked inside the warehouses, along with Costco’s own published terms, clear up several of these points. Here are eight policies that regularly cause confusion, and what’s really going on with each.

Costco says it guarantees satisfaction on every product it sells and will refund the purchase price, with listed exceptions. That wording is why many shoppers assume anything can come back at any time.

The exceptions are real, though. Electronics have a 90 day return window. Diamonds over one carat require original paperwork and get a jewelry credit memo. Cigarettes and alcohol aren’t accepted back where the law prohibits it.

Many members don’t realize the return counter keeps a memory. Reports from former employees and longtime shoppers suggest habitual serial returners can get flagged internally. One employee said members who return at least half of their purchases get flagged, though the exact threshold isn’t known.

That’s why a no receipt return usually works. Your membership lets Costco keep a record of what you’ve bought. The same record also shows when someone leans on the policy too often, and Costco can revoke memberships for excessive return abuse.

Some shoppers believe Costco quietly rewrote its rules. The reporting points to something subtler. One 2026 roundup describes it as stricter enforcement rather than a policy change.

In practice, some members have found workers requiring extra proof of purchase, and managers checking how often customers return items. The shift followed viral stories of Christmas trees coming back long after the holidays. Employees can also use discretion, since many returns come down to manager judgment and whether a shopper seems reasonable.

The entrance scanner annoys plenty of people, including the workers who operate it. Costco announced in 2024 that it would roll out scanning devices at warehouse entrances nationwide. One employee’s Reddit post described shoppers harassing staff over the change.

The reason is money. In a February 2026 earnings call, executives said Costco had more than 81 million paid members. If your card has no photo attached, you may be asked to show photo ID. Staff at the door are enforcing terms members agreed to when they signed up.

Lending your card to a friend or relative is the mistake that trips up most people. Costco’s terms say the card is valid worldwide and cannot be transferred. Using someone else’s card is a violation even with their permission.

There are legitimate ways to share. Each Gold Star or Executive membership includes one free household card for a second adult at the same address. Members can also bring up to two guests into the warehouse, but only the member can pay at the register.

Receipt Checks Aren’t Accusations

Being stopped at the exit can feel like an accusation. A roundup of insider accounts from current and former employees says otherwise. Its heading puts it plainly: receipt checks don’t usually mean you’re suspected of stealing.

The check is a routine verification step, not a profile of you. With bulk packs, stacked carts, and high volume, a quick comparison of cart to receipt helps catch scanning mistakes. Those mistakes can cost either side money.

The satisfaction guarantee covers more than merchandise. Costco says it will cancel and refund your membership fee at any time if you’re dissatisfied. That surprises people who assume a lapsed year is simply gone.

The refund isn’t prorated either. Someone who joins in January and cancels in October would get the full $65 or $130 back. Fees rose on September 1, 2024, from $60 to $65 for Gold Star and from $120 to $130 for Executive.

Food Court and Rotisserie Rules Are About Safety, Not Spite

Workers sometimes get blamed for rules that look wasteful. Once a pizza slice reaches the register counter, it can’t go back on the rack, even if nobody touched it. A customer who changes their mind means that slice is thrown out.

Rotisserie chickens follow a similar clock. Business Insider reported that they can sit out for two hours at most, and unsold ones are discarded. That reporting is a few years old, so timing may vary by warehouse. Food safety is the stated logic behind it.

What the Rules Add Up To

Most Costco policies are narrower than shoppers assume and more consistent than they appear. Returns are generous but tracked. Cards belong to one person, with a household card as the official exception.

The membership fee funds the model, and the refund guarantee backs it up. Knowing where each rule stops saves time at the counter and keeps a membership in good standing.
